Initial situation

Instead of managing email signatures and banners manually on each device or for each employee, the timber construction company was looking for a centralized, automated solution. The goal was to deploy email signatures and campaign banners consistently across the entire company, without requiring any manual effort from employees. Depending on the recipient, the software would automatically apply the appropriate signature: an internal version for emails and an external version for communication towards customers and partners.

The template management software ensures that all employees automatically work with a consistent email signature aligned with the company's corporate design from day one - without any manual setup. The signatures are based on a central data source, e.g., an Active Directory, and are automatically populated and synchronized with relevant information such as job title or phone number. The software also detects whether an email is being sent to internal or external recipients and adjusts the signature accordingly.

In addition, Jampen Holzbau uses the campaign feature for email banners in the sender footer. It allows teams to display marketing messages automatically that are targeted to specific audiences, and scheduled over time - without creating additional work for employees. Authorized users manage the content centrally. For example, the marketing team can use their emails to promote an upcoming trade fair appearance, while the HR department can advertise open job positions at the same time.
